YOUR ROLE
A. Main Objective:
Responsible for coordinating the end-to-end order fulfillment and warehouse operations process to ensure accurate, timely, and standardized product handling. Collaborate closely with Sales, Accounting, and logistics partners to optimize operations, control inventory, and enhance customer experience across sales channels and e-commerce platforms.
B. Key Responsibilities:
1. Sales Admin:
- Receive and process orders from Sales teams, distributors, and e-commerce platforms (Shopee, Lazada, TikTok Shop, etc.).
- Coordinate with Accounting to confirm payment status and shipment eligibility.
- Print shipping labels and prepare related documents such as delivery notes, invoices, and shipment paperwork.
- Track shipment progress and resolve delivery issues such as delays, lost parcels, or returned orders.
- Handle returned orders from e-commerce platforms, inspect product conditions, and reconcile data with Accounting.
2. Warehouse & Logistics Coordination:
- Monitor imported shipment schedules and coordinate warehouse receiving activities.
- Verify actual received quantity, specifications, and product conditions.
- Perform or supervise picking and packing activities following company and e-commerce platform standards.
- Organize warehouse inventory systematically following FIFO principles.
- Monitor product expiry dates for FMCG products.
- Coordinate directly with 3PL providers or delivery drivers for daily handovers.
3. Inventory Control & Reporting:
- Conduct periodic inventory checks with Accounting to ensure stock accuracy between physical inventory and system records.
- Monitor and report low-stock, slow-moving, or near-expiry products.
- Support Sales teams and management by providing inventory data when required.
- Suggest operational improvements to optimize order processing and warehouse management efficiency.
WHAT ARE WE LOOKING FOR
- Bachelor’s Degree or College Diploma in Business Administration, Logistics, Supply Chain Management, E-commerce, Accounting, or related fields.
- Minimum 1 year of experience in Sales Admin, Order Coordination, Warehouse Operations, or Logistics. Experience in FMCG or e-commerce operations is preferred.
- Proficient in Excel or basic sales/warehouse management software.
- Understanding of packing, shipping processes, and e-commerce platform regulations.
- Strong organizational and task prioritization skills.
- Honest, detail-oriented, and highly responsible.
- Good physical condition to support packing and warehouse activities when needed.
- Team-oriented with a customer service mindset.

TIME & LOCATION
- Working hours: 09:00 – 18:00, Monday to Friday (Saturday is flexible: Work can be conducted either online or on-site, depending on the actual volume and nature of the workload).
